7 Lessons from Onboarding Mineral Owners

By: Pete O’Brien

BACK

After onboarding thousands of mineral owners, we’ve learned that switching mineral management software involves much more than technology. Years of financial data, established workflows, complex ownership structures, and day-to-day responsibilities can make change feel daunting.

We’ve also learned what helps make the process smoother and how the right technology and support can deliver well beyond implementation. Here are seven lessons from our experience at SS&C MineralWare.

1. Getting started is often easier than clients expect.
Many clients expect implementation to be lengthy and complicated. With a clear plan and the right support, however, the process can be simpler than anticipated.

MineralWare breaks implementation into manageable steps, helping clients understand what’s involved, what comes next, and how their information will be handled.

2. Reporting discrepancies can go unnoticed for years.
Mineral owners rely on operators to report production and revenue accurately, but discrepancies occur more than they realize. A small decimal error can affect payments substantially over time.

Having financial and ownership data in one place makes it easier to reconcile revenue, compare operator statements, and investigate potential discrepancies.

3. Disconnected systems create a hidden operational burden.
Many clients have assembled their own collection of spreadsheets, applications, and manual processes over the years. Teams must remember where information lives, determine which records are current, and work around gaps between systems.

MineralWare consolidates mineral management activities in one platform, helping teams spend less time tracking down information and coordinating disconnected processes.

4. The more complex, the more we can help.
No two mineral management operations are exactly alike. Some involve intricate ownership structures, multiple entities, specialized reporting requirements, or investors who need different levels of access. Others have unique workflows or technical requirements that don’t fit a standard setup.

These challenges shouldn’t prevent a business from improving its processes. MineralWare is well equipped to accommodate complex needs.

5. Running MineralWare parallel with your existing systems is often a must.
One concern we hear from clients is the risk of disrupting a system they depend on, even when they know it has limitations. Years of accumulated data and established workflows can make switching feel risky.

Where appropriate, running MineralWare in parallel with an existing system gives clients time to become comfortable with the new environment and compare results before fully transitioning. This period can help surface questions, validate data, and build confidence before the full transition.

6. Implementation is the beginning of the relationship, not the end.
Software alone doesn’t resolve every challenge. People need to understand how a system works, how it fits their responsibilities, and where to turn when questions arise.

That’s why training and ongoing support matter. At MineralWare, we take the time to understand each client’s needs and help their team become comfortable using the platform. Access to knowledgeable support helps clients address new questions and continue getting value from their technology.

7. The right system should support where your business is going.
A mineral management system needs to do more than meet today’s requirements. Ownership structures change, portfolios grow more complex, reporting expectations shift, and new technology creates different ways of working.

MineralWare’s APIs, custom exports, flexible interface, and configurable workflows help clients respond to changing business needs.

Modern mineral management technology can do more than replace outdated processes. It can improve visibility into financial and ownership data, reduce manual effort, and help owners manage their interests more efficiently. Recognizing what’s possible is often the first step toward change.
